Quick answer
The right ergonomic setup should adapt to your body, support frequent movement, and stay comfortable through a full workday.
A customer had just finished assembling a new ergonomic chair when they noticed that the plastic lever controlling the recline had broken off. The rest of the chair looked fine, and the shipping box showed no obvious damage.
The customer mentioned the broken lever in a public review but hadn't contacted our support team.
We came across the review and reached out to the customer that same day. We asked for a photo of the damaged lever and whether the outer box had arrived in good condition. Once we had the details, we started looking into a replacement.
Finding a Solution That Worked
The customer confirmed that the lever was the only damaged part. There were no scratches on the chair, and the recline function still worked.
Unfortunately, the replacement part was out of stock and wasn't expected to be available until one month. We explained the situation and asked if the customer would be willing to wait. We also made it clear that if the broken lever affected normal use, they could let us know so we could look into other options.
The customer was happy to wait. They also shared that the person using the chair really loved it and had found it comfortable from the very first day. They had previously spent nearly twice as much on another chair but hadn't been happy with it.
It was good to hear that the chair itself had worked out so well, even though the damaged lever needed attention. We still had a replacement to arrange, but at least the customer knew we were aware of the problem and working on it.
A Small but Important Part of Customer Support
In this case, the customer hadn't emailed us or opened a support ticket. If we hadn't seen the review, we might not have known about the broken lever at all.
We can't assume every customer who has a problem will contact us directly. Some may post a review first, while others may simply move on without saying anything. When we do come across feedback like this, we have an opportunity to reach out, understand what's happened, and see what we can do.
The replacement wasn't immediately available, so we couldn't offer an instant fix. What we can do is explain the situation to the customer, making it clear that there might be a waiting period, verify whether the chair is still usable, and provide a way for the customer to keep us updated should the situation change.
For us, this was a reminder to pay attention to what customers are saying, not just to the messages that arrive in our inbox. Sometimes a simple follow-up is how a conversation that never started becomes a chance to help.
Our Takeaway
We can’t always fix things right away, but we can make sure the customer knows we’re working on it. In this specific case, the customer did not reach out to us directly for assistance; instead, upon seeing their review, we took the initiative to contact them and work together on a solution.
